Turn on approvals for your team
Approval puts a sign off in front of the queue, so a post that needs review cannot be published until someone approves it. You choose a mode once for the workspace.

Before you start
The approval workflow is a plan feature. It is not part of Starter and is included from Creator upward, and the number of seats differs by plan too. The pricing page shows what each plan includes.
You also need someone to review. Reviewers are Owners and Admins; Contributors write and submit. If you have not invited anyone yet, the guide to adding a team member comes first.
Switch it on
You only do this once for the workspace.
- Open Settings, then Approvals.
- Choose a mode: Off, Contributor only, or All. If unsure, start with Contributor only.
- Pick the review window, the time a request may wait. The default is seven days.
- Ask a Contributor to write a post and submit it for approval.
- Open Approvals as an Owner or Admin, read the post for each channel, then approve it.
| Mode | Who needs approval | A good fit |
|---|---|---|
| Off | Nobody | A solo user or a fully trusting team |
| Contributor only | Posts written by Contributors | Writers who draft and others who publish |
| All | Every post, whoever wrote it | Work done in a client’s name |
What you should see
A post that needs review is saved as a draft with a pending approval. It is never queued while pending, so there is no moment when an unreviewed post is waiting to go out. Approving releases it to its scheduled time, or sends it at once if that time has passed. Rejecting returns it to a draft, with the reviewer’s note attached.
A pending request that waits past the window expires rather than publishing late. Every approval, rejection and expiry is written to the audit log, which cannot be edited afterwards.
The two cases that need approval anyway
Posting to a Discord channel or a Reddit community reaches people who did not ask for it, and automated posting can get an account banned. So a post to either defaults to needing approval whatever the mode, on every plan. You can switch that off for one destination, but only by ticking an explicit acknowledgment.
Reddit is not yet available to connect. The rule is there for when it is; Discord applies it today.
If something goes wrong
| What you see | What it means | What to do |
|---|---|---|
| No Approvals option in Settings | Your plan does not include the workflow, or your role cannot manage it | Check the plan on the pricing page; only people who manage the workspace can change the mode |
| A post expired | It waited longer than the review window | Open the draft, check the time, and submit it again |
| An assistant’s draft is waiting | Posts from AI clients follow the same rule as any other | Review it in Approvals like any other post |
Next steps
Tell your team before you switch it on. A Contributor who has never met a review step will wonder why a post did not go out, and one sentence of warning saves a lot of messages, and a short note in your team chat about where Approvals lives saves the rest. Remind them that a rejection comes with a note, and that they can fix the draft and send it back for another look.
For the full picture of roles and windows, read roles and approvals for a small team, and for why the gate sits where it does, approval before queueing. The teams page shows the feature in the product.
Check your result
- Confirm the mode shown in Settings, then Approvals matches what you chose.
- Submit a test post as a Contributor.
- Approve it as an Owner or Admin and watch it join the calendar.
- Find the approval in the audit log.
