Add a team member

You invite someone by email and choose their role. They accept from the link, and they are in. The part worth a minute is picking the right role and knowing how to take access back.

Before you start

The number of seats comes from your plan, and the seat count for each plan is shown on the pricing page. Seats are used by current members and by invitations that are still pending, so an unanswered invitation holds a seat until it is accepted or revoked.

Decide the role first. There are three: Owner, Admin and Contributor. You can invite people as Admin or Contributor. A workspace has exactly one Owner, so the Owner cannot be invited; ownership is transferred instead.

What each role can do
RoleCan doCannot do
OwnerEverything an Admin can, plus billing, plan changes and transferring or deleting the workspaceNot applicable
AdminManage members other than the Owner, channels and customers, and all content including approvingOpen billing or delete the workspace
ContributorCreate and edit contentManage the team, channels, billing or settings; publish directly where approval applies

Send the invitation

  1. Open Settings and choose Team & Roles.
  2. Enter the person’s email address.
  3. Choose Admin or Contributor.
  4. Send the invitation.

What you should see

The invitation appears in the pending list while an email goes to the person. They open the link, which lands on the accept invitation page, and follow the steps there. Once they accept they show up as a member with the role you chose.

If the email did not arrive, you can resend it after a short cooldown. If you invited the wrong address or changed your mind, revoke the invitation and the link stops working.

Change a role or remove someone

A role can be changed later and applies at once. Removing a member ends their access. Their API keys and any AI connection they authorized resolve the member’s role on every call, so demoting or removing the person limits those keys on their next use; nothing keeps the old permissions.

Transfer instead of invite

To hand over the workspace, transfer ownership from the member list. The previous Owner becomes an Admin, and the workspace never has zero or two Owners.

Pair it with approvals

Roles matter most together with review. If you want a Contributor’s posts checked before they go out, turn on approvals; the approvals guide shows how. Approval workflow depends on your plan.

Role changes, removals and approvals are written to the audit log, so you can see afterwards who did what. The log is append only, which means an entry cannot be edited after it is written.

Internal comments on a post are a quiet way for a new member to ask questions in context, rather than in a separate chat that nobody else can see later.

Choosing the right role

Start with the least access that lets the person do their job. A writer who drafts and schedules content is a Contributor. Someone who also manages channels, customers and the rest of the team is an Admin. You can raise a role later with one change, but a role given too freely is harder to notice than one that is too tight.

Keep the number of Admins small. Admins can manage every member other than the Owner, connect and disconnect channels, and approve posts, so each one is another person whose account protects the workspace.

A solo workspace never sees the word Owner at all. The role labels appear once there is a second member.

If something goes wrong

An invitation link that is expired, used or revoked shows one generic message, deliberately without saying which. Send a fresh invitation. If you are out of seats, free one by removing a member or change the plan.

Check your result

  • Confirm the right email and role before sending.
  • Check the member list after they accept.
  • Review who holds the Admin role.
  • Revoke any invitation that is no longer needed.
